Role Overview
We are seeking a skilled Office Manager to join our team in Christchurch on a fixed term, part -time basis (4 days/32 hours per week), covering maternity leave. As an Office Manager at Cosgroves, you will play a pivotal role in ensuring the smooth operation of Cosgroves nationally. Your ability to maintain confidentiality, your initiative, and your attention to detail will be crucial in ensuring the efficient operation of our daily activities.
Responsibilities
- Oversee the day-to-day admin function of the company offices to ensure the ongoing smooth operation of Cosgroves
- Line management of the local office Administrators including workflow coordination, conducting performance appraisals and identifying training and professional development opportunities
- Coordinate monthly admin team meetings and weekly check-ins with the local office Administrators
- Processing monthly credit card reconciliations
- Assist the Senior Financial Administrator (SFA) with payroll preparations and post-payroll tasks
- Accounts Payable – assist with monthly data entry to ensure deadlines are met and expenses are appropriately disbursed on to projects where relevant.
- Accounts Receivable – regularly monitor aged debtor reports and follow up with clients regarding overdue invoices.
- Management of company leased vehicles ensuring servicing, grooming, wof, registration and other requirements are met and coordinated in advance to ensure no disadvantage to the business
- Understand all software maintenance agreements & annual subscriptions
- Be responsible for the day to day running of the QMS to meet ongoing requirements to maintain ISO:9001 accreditation
- Assist Culture + Wellbeing Working Group leader to drive in-house initiatives
- Assist the Sustainability Working Group leader to drive in-house initiatives
- Assist with preparation and submission of data to maintain Toitū accreditation (or equivalent)
- Other additional duties
Requirements
- At least 5 years office and accounts administration experience; or relevant qualification.
- Leadership skills to provide guidance and development to direct reports
- A high degree of proficiency with MS Office applications (primarily Outlook, Word, Excel and PowerPoint)
- A broad understanding of key accounting principles
- Strong organisational skills to complete tasks by time-sensitive deadlines
- High level of attention to detail
- Analytical and problem-solving skills
- Excellent communication and relationship management skills to interface daily with a diverse range of contacts
- High degree of confidentiality and professionalism
- An ability to handle multiple tasks and work well under pressure
- Enthusiasm and drive; ability to deliver good results
- A high degree of integrity and personal responsibility
